The pieces (no heavy jargon)

Piece	Plain meaning
Parent link	A temporary web address tied to one child
Portal cookie	A short “pass” saved in the browser after the link is opened
Admin console	The staff area at `/setup`
OneDrive	Where the clinic stores the finished video
Redis	A small database that remembers links and settings
Email service	Sends the “video arrived” message

Link states

State	Meaning
Provisioning	Brand new — waiting out the short buffer
Pending	Ready for the parent to upload
Used	A video was successfully finished

Opening a link does not mark it used. Finishing an upload does.
